GENERAL PURPOSE
- Promotes an inviting and helpful atmosphere in the lobby and front desk. Under general supervision, services public records requests, inputs and maintains records related to Sheriff’s Office and criminal justice activities. Assists Civil Deputy with data entry, processing and serving of various legal documents, papers and warrants produced through the legal system and executed by the Sheriff’s Office.
ESSENTIAL FUNCTIONS
- Enter, inquire and retrieve information from the records management system, GOVQA and other related databases.
- Maintain Sheriff’s Office electronic records management filing system.
- Provide necessary data from eImpact software, including photos to record management system for completing accident reports.
- Provide timely public information requests to the public, attorney’s and insurance companies.
- Redact appropriate records as needed based on laws and codes before releasing.
- Provide background checks for other Agencies including the FBI.
- Receive and process payment for requests for crash and arrest reports, background checks and public information requests.
- Performs other related duties as assigned.

Civil Deputy Assistant
GENERAL PURPOSE
- Performs a variety of complex clerical duties designed to expedite the data entry, processing and serving of various legal documents, papers and warrants produced through the legal system and executed by the Sheriff’ Office.
ESSENTIAL FUNCTIONS
- Has the ability to gain considerable knowledge of Idaho code governing civil processes, general office management practices and procedures of the division.
- Know basic bookkeeping and accounting methods and learn the civil functions of the County Sheriff and its interrelationship with other county departments.
- Interpersonal communication skills.
- Knowledge of computer terminal operation and programs unique to civil document processing requirements.
- Assist in managing the day‑to‑day activities of the civil process in the Sheriff’s Office as needed. Must be able to coordinate with legal staff, private attorneys, court personnel regarding various civil processes and procedures.
- Help perform entry of civil documents into the process system as needed; bill for a collection of fees for all process that has been served and/or returned; dates and time stamps documents as needed to validate legal time requirements for service and formally registers the same; answers all questions from deputies, attorneys, plaintiffs and defendants.
- Coordinates Warrants of Distraint with the Tax Assessor’s Office; collects delinquent taxes or arranges sale of items to satisfy tax debt.

Deputy Sheriff – Patrol Deputy
Class Summary/Primary Function
The primary function of an employee in this class is to enforce state and local laws and ordinances, respond to calls for the protection of life and property, conduct criminal and non-criminal investigations, make arrests and to perform other assigned law enforcement and public safety duties. Duties normally consist of patrol and traffic activities in the county on an assigned shift. An individual in the Patrol Deputy classification works under the direction of the Patrol Corporal and the Patrol Sergeant. A Patrol Deputy is typically assigned to a shift rotation including days, nights, weekends and holidays. The principal duties of this class are performed in both an office environment and an outdoor environment that may include exposure to adverse weather conditions and to potential personal danger. May be subject to some off-duty communication and or some call-outs.
SUPERVISION RECEIVED
Works under the direct supervision of the Patrol Corporal/Patrol Sergeant according to the policies established by Madison County and Standard Operations Procedures established by the Sheriff and his administration, which falls under Federal, State, and County Laws.
Essential Duties and Responsibilities (will vary by assignment)
- Regular on-time attendance for assigned shifts
- Patrols assigned areas of the county in an assigned vehicle;
- Enforces state and local laws and ordinances;
- Responds to and may assume command of crime scenes, emergency situations, and major incidents in the absence of the Patrol Corporal and or Patrol Sergeant until relieved of command by a higher ranking officer;
- Responds to high risk calls with unknown officer safety information including homicide, domestic disputes, fights, burglaries, robberies and armed suspects, active shooters;
- Conducts investigations and presents court testimony;
- Observes, monitors, and adheres to Madison County Sheriff’s Office policies;
- Performs duties associated with Community Policing;
- Organizes resources of the community and other agencies to reduce crime;
- Performs all work duties and activities in accordance with County and Madison County Sheriff’s Office policies, procedures, and safety practices.
- May be assigned to specific areas of responsibility such as patrol, field investigation, search and rescue, narcotics investigator, canine officer, field training, civil process service or other assignment;
- Performs other related duties as required, and or as directed by a superior officer.
- Serves civil papers; garnishments, subpoenas, summons, etc. with special attention to time sensitive documents.
- May serve on the Sheriff’s Response Team (SRT)
SRT Mission Statement: Recognizing that the presence of a highly trained, skilled police tactical unit has been shown to substantially reduce the risk of injury or loss of life to citizens, police officers, and suspects; and recognizing that a well-managed “team” response to critical incidents usually results in a successful resolution of critical incidents; it is the intent of the SRT to provide a highly trained and skilled tactical team as a resource for Madison County in the handling of critical incidents.
The SRT Team serves under the Incident Commander: SRT Deputies are subordinate to the team commander; the SRT deputies are responsible for working with the team leader in developing standard operating procedures, training, and equipment needs for a tactical response to critical incidents for review by the Commander and approval by the Sheriff; must attend training in keeping with modern police tactics and points of law; must pass annual performance standards to insure that the commander as well as all team members are physically and mentally prepared in all areas of tactical operations; is on call 24/7 unless prior arrangements are made, being ready with all mandatory and specialized equipment, to respond to all tactical situations. On all tactical call outs, the SRT Deputy works within specialized areas such as: Entry team, port and cover, and sniper team; the SRT members work under the direction of the team leader and commander during deployment for the successful resolution of the incident. Is required to attend minimum hours as designated by the Sheriff per month for tactical training; must pass the prescribed physical, and pass the annual performance standards as set in the standard operating procedures of the Sheriff’s Response Team.

Acceptable Experience and Training

- Special Qualifications
- Idaho driver’s license is required;
- Have the ability to qualify for an Idaho POST Basic Patrol certification;
- Additional certifications for specialized assignments and training may be required.
